Enquiries and the information we receive

When you use our contact form, we receive your name, email address, telephone number and message, together with any business information you choose to include. The form is provided through Framer and sends your enquiry to our Gmail inbox. We manage enquiries in that inbox and do not copy them into a separate CRM or spreadsheet.

If you become a client or book training, we also process the contact, service, attendee, booking and transaction information needed to administer that relationship. When you follow a link to a booking or payment provider, the information you enter there is also covered by that provider’s privacy information.

Our website providers may process technical information needed to deliver and secure the site and protect forms from spam, including network and device information. Please avoid including sensitive personal information in an initial enquiry.

You do not have to contact us or make a booking. Without the necessary contact and booking details, however, we may be unable to respond or provide the requested service.

Why we use personal information

We use enquiries to answer questions, discuss requirements and prepare proposals. Where you are considering a contract personally, we rely on taking steps at your request before entering that contract. For enquiries made on behalf of a business, we rely on our legitimate interest in responding to business enquiries and managing business relationships.

We use client and attendee information to organise and deliver agreed services and training. We rely on contractual necessity where you are the contracting individual, or our legitimate interests in providing services and communicating with business contacts where the customer is an organisation.

We retain necessary accounting records to meet legal obligations. We may also use proportionate records to investigate complaints, secure our systems and establish or defend legal claims, relying on the relevant legal obligation or our legitimate interests in running and protecting the business.

Marketing emails

Sending an enquiry or booking training does not automatically subscribe you to promotional emails. We send promotional mailing-list emails only where you have separately opted in.

You can withdraw your consent at any time using the unsubscribe option or by emailing us. Withdrawal does not affect earlier lawful use of your information. We may still send necessary messages about a service or event you have booked.

You can object at any time to the use of your personal information for direct marketing.

Who receives information

Framer provides our website and contact-form service. Google provides Gmail, where we receive, store and manage enquiries. Both may use their own service providers to deliver and secure these services.

If you choose to book an appointment through Calendly or training through Ticket Tailor, the relevant provider processes your booking information. Payment services used during checkout process the payment information entered there. Their privacy notices explain their own processing.

Necessary information may also be shared with professional advisers or public authorities where required for a legitimate business purpose or by law. We do not sell enquiry or attendee lists.

International processing

Our online providers operate internationally, so information may be processed outside the UK, including in the United States and the European Economic Area.

The relevant provider arrangements use adequacy decisions or approved contractual safeguards where required. Google explains its transfer mechanisms in its data transfer information. Framer’s data processing terms include contractual safeguards and the UK Addendum for relevant restricted transfers. Contact us if you would like information about the safeguards applying to your data or how to obtain a copy.

How long we keep information

Our policy is to delete or anonymise unsuccessful enquiries 12 months after the last meaningful contact. Necessary client and training agreement, invoice and payment records are generally retained for six years after the relevant financial year. Other personal information is removed sooner when no longer needed.

We may retain relevant information longer where a specific legal obligation, unresolved complaint or active legal claim requires it. We keep only what is relevant to that purpose. A minimal record of an unsubscribe request may be retained to ensure that we continue to respect it.

Removal from a provider’s backup systems follows its applicable retention and deletion arrangements.

Your rights

Depending on the circumstances, you can ask for access to your information, correction of inaccurate information, deletion, restriction of processing or a portable copy. You can also object to processing based on legitimate interests. These rights are subject to the conditions and exceptions in data-protection law.

Email info@marketingyorkshire.co.uk to make a request. We may need information to confirm your identity before disclosing personal information.

You can raise a concern with us or complain to the Information Commissioner’s Office. You do not have to complain to us first.
